Procurement policy tends to treat instruments as commodities, write a specification, invite three quotations, award to the lowest compliant bid. It is a defensible process for stationery and a poor one for analytical equipment, where the purchase is the start of a relationship lasting a decade. The supplier laboratory equipment is bought from determines installation quality, downtime, calibration records and whether spare parts still exist in year eight, none of which the tender document usually captures.
Define the Method, Not the Machine
The strongest specifications describe what must be measured, to what precision, at what throughput, under what regulatory framework. Weak ones copy a model number from a competitor laboratory. Describing the method invites suppliers to propose configurations that were never considered, and it exposes the ones who only read the part number. It also prevents the common outcome of buying capability that nobody uses while missing a detection limit that actually mattered. Stating the sample matrix and the expected daily volume alongside the method costs a sentence and changes what comes back.
Authorised Distribution and What It Buys
Establish whether the supplier is appointed by the manufacturer for this market. Appointment brings factory training, access to service documentation, firmware and software updates, and a warranty the manufacturer will honour without argument. Unauthorised channels can quote lower because they carry none of that overhead. The difference is invisible on the day of purchase and becomes very visible the first time a board fails or a software licence needs reissuing.
Reading a Quotation Properly
Compare scope rather than totals. One quotation may include delivery, positioning, installation, commissioning, initial calibration, operator training and a first-year service visit; another may include the box. Check what accessories are genuinely required to run the intended method, whether consumables are proprietary, and what the annual reagent or cartridge spend looks like. Instruments with low capital cost and locked consumable streams frequently prove to be the expensive option over five years.
Installation and Commissioning
Delivery is not commissioning. Ask who verifies that the instrument performs to specification on site, what documentation that produces, and whether installation and operational qualification are provided as a matter of course for regulated environments. Site preparation should be agreed in writing beforehand, covering bench loading, clearances, power, ventilation, drainage and ambient temperature. Suppliers who conduct a site survey before quoting are usually the ones who install without surprises.
Where the Equipment Will Be Used
Application knowledge separates a distributor from a delivery service. A supplier who understands the workflows of medical labs will raise questions about sample volumes, containment, workflow separation and reporting that a catalogue reseller never thinks to ask. That understanding shows up in the quality of the demonstration, in sensible substitutions, and in warnings about combinations of equipment that look reasonable on paper but perform poorly together in practice.
Service Response and Engineer Coverage
For any instrument whose failure stops reporting, service capability outweighs specification. Ask how many engineers are trained on that specific platform, where they are based, and what response times the contract actually guarantees rather than aspires to. Ask what proportion of faults are resolved on the first visit. Where a loan unit is available during extended repairs, say so in the contract, since verbal assurances have a short memory.
Calibration and Documentation
Accredited laboratories live or die by traceable records. Confirm that calibration is traceable to national standards, that certificates arrive promptly and in a usable format, and that the supplier can schedule calibration alongside preventive maintenance so the instrument is out of service once rather than twice. Where software holds data subject to audit, ask directly about access control, audit trails and how records are retained through version upgrades.
Spare Parts and Lifespan
Ask how long parts will be available after the model is discontinued, which components are consumable, and what stock is held in the region. A part that ships from overseas on a two-week lead time converts a minor fault into a fortnight of lost work. Ask what the supplier does when a platform reaches end of life, because a distributor with a migration path is more useful than one who simply stops answering. Where an instrument is central to routine reporting, it is reasonable to ask for a written parts commitment as a condition of award.
Consolidating Suppliers
There is a practical argument for concentrating purchases with fewer capable suppliers. The benefit only holds where genuine technical depth exists across each of those lines rather than a catalogue listing.
Making the Decision
Score suppliers on installed base for the platform, engineer coverage, parts availability and quality of the site survey, and treat price as one criterion among several rather than the deciding one. Speak to two existing customers about service rather than sales. Then buy from the party most likely to still be supporting the instrument in year eight, which is rarely the cheapest bid on the table.
